Complete House Shifting Checklist for Guwahati Families: 8-Week Timeline (2026)

WEEK 8 (Two Months Before Moving Day)

• Finalise your moving date and destination address. If it is a transfer posting, confirm the joining date in writing from HR.
• Start collecting quotes from 3 packers-and-movers. Insist on a free onsite survey — quotes given without seeing your home are unreliable.

• Take a 15-minute mental walkthrough of every room — imagine boxes stacked. Do you actually need every item?
• Start your KEEP / GIVE / SELL / DISCARD list. Every family we work with says "we wish we had started decluttering earlier".
• If you have a car and/or bike to transport, decide now — combined transport with household saves ₹3,000–₹4,000 vs booking separately.

WEEK 6 (Six Weeks Before)

• Book your packers and movers. Get a written itemised quote with GST breakup.
• Pay your booking advance only against a proper receipt on company letterhead (20–30% is standard; 50%+ upfront is a red flag).
• If your employer requires a three-quotation format for reimbursement, get all three quotes NOW — do not leave this to the last week.
• Start using up perishables: pantry, freezer, opened bottles of oil, condiments. Nobody wants to transport half-used ghee.
• Cancel or transfer subscriptions tied to your Guwahati address — newspaper, milk, cook, maid, gas connection, cable TV.

WEEK 4 (One Month Before)

• Begin room-by-room packing of items you do not use daily — books, off-season clothes, decorations, awards, photo albums.
• Take photos / video walkthrough of your current Guwahati home for insurance and rental deposit purposes (return-condition record).

WEEK 2 (Two Weeks Before)

• Confirm the mover's survey has been done and the itemised quote is finalised.
• Get the insurance certificate copy in advance — you should have it BEFORE the truck loads, not after.

• Confirm destination home is ready — keys, utilities set up, cleaning done, at least one bed ready to sleep on Day 1.

WEEK 1 (The Final Week)

• Day 7: Confirm truck arrival time with your mover. Confirm addresses (both pickup and drop) via WhatsApp.
• Day 5: Pack a "documents folder" — all your originals travel in a locked briefcase WITH YOU: passport, Aadhaar, PAN, marksheets, service book, cheque book, PPO, degree certificates, marriage certificate. Never in the truck. Never.
• Day 3: Final grocery shopping in Guwahati. Empty and defrost the fridge/freezer. Clean it inside so it does not stink en route.
• Day 2: Backup all your computers, phones, digital photos to Google Drive / iCloud. Assume the truck might be delayed.
• Day 1 (night before): Charge all phones, portable speakers, kids' tablets. Set an alarm 15 min before movers arrive.

MOVING DAY (Pickup Day)

• Adult family member present through entire packing — take photos of any high-value item BEFORE packing (electronics, jewellery, artwork).
• Cross-check the inventory list before signing. Every single carton numbered.
• Insurance value declaration: declare the correct value — under-declaring means under-insurance if damage happens.
• Take the driver's number and truck number in writing.
• GST invoice: cross-check GSTIN, your name spelling, PAN, and itemisation. Corrections are near-impossible after dispatch.
• Do a final house walkthrough — bathroom cabinets, kitchen top shelf, garden shed, meter room. Every family leaves something behind.
• Lock the house, hand keys to landlord / next tenant. Get a "no dues" receipt.

IN TRANSIT (While Truck Travels)

• Check GPS location once a day (do not obsess).
• Confirm the driver's ETA the evening before delivery day.
• For transferable staff: Submit your reimbursement paperwork to HR now, not after delivery. Attach GST invoice + insurance certificate. Delivery certificate follows post-move.
• Reach destination 1–2 days AHEAD of the truck so you can clean, set up basics and receive.

DELIVERY DAY

• Cross-check every carton against the inventory list before signing delivery challan.
• Open cartons containing electronics, glassware and delicate items in the presence of the mover's team.
• Any damage — report in writing immediately, take photos, and share with the mover BEFORE signing the delivery certificate. Post-delivery damage claims are very hard to enforce.
• Get the delivery-signed acknowledgment for your files and HR.
• Tip your loading team — ₹300–₹500 per person is customary in India for a full-day's work, not mandatory.

THE FIRST WEEK IN YOUR NEW HOME

• Prioritise setting up the kitchen and one bathroom first — nothing else matters if the family cannot eat and clean.
• Register at the local police station (if inter-state posting requires it).
• Register with a local doctor + paediatrician for the family.
• Submit the final reimbursement claim to HR: GST invoice, insurance certificate, inventory list, delivery-signed acknowledgment.
• Post a review on the mover's Google Business Profile — honest reviews (good OR bad) help the next family.
